Mallory International is a specialized export bookseller, working mostly with institutions and aid-funded projects in Africa. It is quite a small business, and all members of staff have a wide responsibility (with support from management) for the tendering and administration of projects, and for general customer support.
The skill sets outlined below should be seen in the context of this objective. It should be emphasized that we do not expect staff to arrive with all, or any, of the specific knowledge set out, and attitude and approach, and a sense of involvement, along with initiative and learning skills, are more important than experience.
Major areas of work and responsibility:
1. To handle all aspects of quotation and supply to designated customers, for both books and journals.
2. To handle invoicing and export documentation.
3. To ensure that all paperwork, both administrative and financial, required for customers and projects, is produced accurately and to time.
4. To liaise with the Company’s local representatives to optimize customer service.
5. To handle purchase invoices, entering them on the system and paying suppliers.
Skills needed:
1. Knowledge of book trade research tools, and web resources (training given).
2. Competence in Word, Excel and other Microsoft Office tools.
3. Good communication skills, both written (mostly email) and telephone.
4. Knowledge of letters of credit (both on and off the job training given).
5. Knowledge of other export documentation (both on and off the job training given).
This post is initally for 6 months full-time, with the possibility of developing to a permanent role.
